This Privacy Policy explains how QuoteByte collects, uses, stores, discloses and protects personal information.

QuoteByte is operated by the QuoteByte team. In this Privacy Policy, “QuoteByte”, “we”, “our” and “us” refers to the operator of QuoteByte.

QuoteByte provides software that helps small trade and service businesses create, manage, review and send quotes, job records and related business documents.

This Privacy Policy is intended to support compliance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply to us.

1. What information we collect

We collect information directly from you, automatically through your use of QuoteByte, and from third-party services used to operate QuoteByte.

2. Account and contact information

We may collect:

  • name;
  • email address;
  • phone number;
  • login details;
  • business name;
  • ABN;
  • business address;
  • service area;
  • account preferences;
  • support messages;
  • onboarding information.

3. Business profile information

You may enter business information into QuoteByte, including:

  • business name;
  • ABN;
  • logo;
  • contact details;
  • payment details;
  • GST settings;
  • terms and conditions;
  • quote preferences;
  • invoice preferences;
  • service descriptions;
  • pricing information.

4. Customer and job information

When you use QuoteByte, you may enter information about your customers and jobs, including:

  • customer names;
  • customer phone numbers;
  • customer email addresses;
  • job addresses;
  • job descriptions;
  • job notes;
  • quote details;
  • invoice details;
  • line items;
  • quantities;
  • prices;
  • photos or uploaded files, if supported;
  • job status;
  • customer communication records, if supported.

This information may include personal information about your customers.

You are responsible for ensuring that you have the right to collect and enter customer information into QuoteByte.

5. Voice, notes and AI-assisted inputs

QuoteByte may allow you to create quote content from typed notes, dictated notes, rough job descriptions or other inputs.

Where AI-assisted features are used, relevant information may be processed to help structure, summarise, draft or improve quote content.

This may include:

  • rough job notes;
  • customer/job context;
  • service descriptions;
  • line items;
  • pricing details;
  • quote terms;
  • business profile details needed to generate the output.

You should avoid entering unnecessary sensitive information into QuoteByte.

6. Billing and subscription information

If you subscribe to QuoteByte, payment processing may be handled by a third-party payment provider, such as Stripe.

QuoteByte does not store full credit card numbers.

We may receive limited billing information, including:

  • billing name;
  • billing email;
  • billing address;
  • subscription status;
  • invoice records;
  • payment status;
  • plan details;
  • renewal date;
  • partial payment identifiers;
  • payment provider customer ID.

7. Technical and usage information

We may collect technical and usage information, including:

  • IP address;
  • browser type;
  • device type;
  • operating system;
  • pages viewed;
  • features used;
  • dates and times of access;
  • log data;
  • crash reports;
  • performance data;
  • diagnostic information;
  • approximate location inferred from technical data.

This helps us operate, secure, troubleshoot and improve QuoteByte.

8. Cookies and similar technologies

QuoteByte’s website and application may use cookies or similar technologies to:

  • keep the service functioning;

  • enforce our Terms of Service.

We do not sell personal information.

10. AI processing

QuoteByte may use AI service providers to help provide AI-assisted features.

When you use AI-assisted features, relevant input information may be sent to an AI provider for processing.

We aim to limit AI processing to the information reasonably needed to provide the requested feature.

You should not enter sensitive personal information into AI-assisted features unless it is necessary and lawful for your business purpose.

11. Disclosure to service providers

We may disclose information to trusted third-party service providers who help us operate QuoteByte.

These may include providers for:

  • hosting;
  • database storage;
  • authentication;
  • payment processing;
  • email delivery;
  • analytics;
  • error monitoring;
  • AI processing;
  • security;
  • customer support;
  • infrastructure;
  • website hosting.

Our current or expected sub-processors are listed in our Sub-processor List.

12. Other disclosures

We may disclose information:

  • where you ask us to;
  • where needed to provide integrations or features;
  • to process payments or subscriptions;
  • to provide support;

  • to enforce our Terms of Service;
  • to protect QuoteByte, users, customers or others;

We do not rent or trade personal information.

13. Overseas disclosure

Some service providers may store or process information outside Australia.

Where personal information is disclosed overseas, we take reasonable steps to assess the provider and manage the disclosure appropriately, having regard to the nature of the information, the provider and the services supplied.

The locations of relevant providers may change over time and are described where possible in our Sub-processor List.

14. Data security

We take reasonable steps to protect information from misuse, interference, loss, unauthorised access, modification and disclosure.

These steps may include:

  • encryption in transit;
  • access controls;
  • authentication controls;
  • hosting with reputable providers;
  • logging and monitoring;
  • least-privilege access practices;
  • database security controls;
  • backup processes;
  • incident response practices;
  • limiting access based on business need.

No method of electronic transmission or storage is completely secure.

15. Data retention

We keep information for as long as reasonably needed to provide QuoteByte, comply with legal obligations, resolve disputes, enforce agreements, maintain security and support legitimate business purposes.

When information is no longer needed, we will take reasonable steps to delete, de-identify or securely retain it where permitted or required by law.

Backup copies may persist for a limited period before being overwritten or deleted.

16. Access and correction

You may request access to personal information we hold about you.

You may also ask us to correct information that is inaccurate, incomplete or out of date.

We may need to verify your identity before responding.

17. Customer information entered by users

QuoteByte users may enter personal information about their own customers.

Where a user enters customer information, the user is responsible for:

  • ensuring they have the right to collect and use that information;
  • giving any required privacy notices to their customers;
  • ensuring the information entered is accurate, relevant and lawful;
  • responding to customer requests where the user controls the customer relationship.

We will provide reasonable assistance where required and practical.

18. Marketing communications

We may send you:

  • service messages;
  • account messages;
  • billing messages;
  • security notices;
  • product updates;
  • marketing communications, where permitted.

You can unsubscribe from marketing emails using the unsubscribe link or by contacting us.

You may still receive important service, billing or security messages.

19. Children

QuoteByte is intended for business users and is not directed to children.

We do not knowingly collect personal information from children.

If you believe a child has provided personal information to us, contact us so we can take appropriate action.

20. Notifiable data breaches

If we become aware of a data breach involving personal information, we will assess the incident and take appropriate steps.

Where required by law, we will notify affected individuals and/or the Office of the Australian Information Commissioner.

21. Complaints

If you have a privacy concern or complaint, contact us first so we can try to resolve it.
